Information we collect
If you submit a quotation enquiry through the website, we may collect:
- your name
- company or organisation
- email address
- telephone number
- site postcode or location
- the service you are interested in
- any information you choose to include in the enquiry details
Please do not include sensitive personal information in the enquiry form.
The website also processes limited technical information needed to operate and protect the enquiry form. This includes the request IP address, a pseudonymous rate-limit identifier, timestamps and the website origin.
How we use your information
We use the information you provide to:
- respond to your enquiry
- understand the site and service you are asking about
- prepare or discuss a quotation
- communicate with you about the requested service
- protect the website and enquiry form from misuse or automated submissions
Website enquiry information is not used to add you to a marketing mailing list and is not sold to third parties.
Our lawful basis
Where you ask us to provide a quotation or take steps towards providing a service to you, we process the information necessary to take those steps at your request.
Where you contact us on behalf of a business or organisation, we may rely on our legitimate interests in responding to business enquiries and providing our services.
We also rely on legitimate interests to operate proportionate website security and anti-abuse controls.
How website enquiries are handled
Quotation enquiries are processed through the website hosting environment and sent to Foster Risk Solutions through Microsoft 365 using Microsoft Graph.
The website does not store the contents of your enquiry in a customer database or local enquiry file.
Your email address is used as the Reply-To address so authorised FRS personnel can respond directly to your enquiry.
Who has access to your information
Access to website enquiries is restricted to authorised Foster Risk Solutions personnel and service providers involved in operating the website and email systems.
We currently use:
- Hostinger for website hosting
- Microsoft 365 / Microsoft Graph for delivery and management of website enquiries
These providers process information under their applicable data protection and service terms.
Where personal information is processed outside the UK, appropriate safeguards must apply in accordance with UK data protection law.
How long we keep information
Enquiries that do not result in work are normally retained for up to six months after the last correspondence and are then deleted unless there is a legitimate reason to retain them for longer.
Where an enquiry results in work, relevant correspondence may become part of the client or project record and may be retained where necessary for contractual, legal, accounting, insurance or professional record-keeping purposes.
The website also uses pseudonymous technical identifiers and timestamps for rate limiting and abuse prevention. These are used only for those security purposes. Expired entries are removed during normal operation of the rate-limiting system, although removal is request-driven rather than guaranteed at an exact time.
Website tracking
The website does not currently use analytics, advertising trackers or marketing pixels.
Automated checks
The website uses automated validation, anti-spam and rate-limiting checks to protect the enquiry form.
These checks determine whether a form submission can be accepted. They are not used to make decisions about an individual that produce legal or similarly significant effects.
Your data protection rights
Depending on the circumstances and the lawful basis being used, you may have rights including:
- access to personal information held about you
- correction of inaccurate or incomplete information
- deletion of personal information in certain circumstances
- restriction of processing in certain circumstances
- objection to processing based on legitimate interests
- data portability where applicable
To exercise your rights or ask how your personal information is being used, contact:
